Project Charter (Working Outline View)
Collaborative Smart Document section type. Team members sign-up for different parts of the Project Charter. They identify a target date to complete; indicate current status.
Any 'line item' in the Charter can "link to" another section in the TeamMachine(tm), which will pull content from it.
Team members can view who changes which portion and when. Team members can use the "..." to comment on any part of charter.
Project Charter (Document/Print View)
Content as created and edited in the 'outline view' is formatted as a document for printing or producing a PDF, which can be routed for approval.
Project Approvals Section
Manage project document approval.
Project Charter (Approved)
Project charter document "pdf" file attached. Approval tab lists those whoe approved (or rejected).
Stakeholder Register
Conduct Stakeholder Analysis. Power Interest Grid. Define strategies to engage stakeholders.
Project Specific Section
List of sections that are needed for a specific type of project, e.g., Software Package Implementation. Business Processes, Strategies and Plans, Outputs for Design, Training, Implementation, Data Conversion, Security
Gap Analysis
To ensure all of the "activities" being done in the current state maps to the new ERP software package module(s).
If it doesn't, determine whether the 'activity' will be continued when the new ERP package goes "Live" or if it will be dropped. If the 'activity' is to continue, the what to treat the gap--customize the ERP package to handle the missing functionality, or perform the 'activity' manually.
Security Risk Assessment
Security Risk Assessment form to be completed.
Project Schedules & Costs Section
Organized by Phase Schedules. An "execution" activity of Phase 2 - Design is to "plan" Phase 3 - Build.
Customization Requirements
In the "Project Schedule & Costs" section, from the WBS, select the "Customization Requirements" item from the "..." menu for each subcomponent of the software package module that requires customization.
Document Customization Requirements
Document designs, attach related files, estimate effort for customization.
Project Schedules & Costs Section
To provide the resource plan (labor, non-labor), select "Resources" on the "..." menu for a specific "Work Package".

Identify the resources (resource skills) required for the "Work Package". For work packages that deal with customizing the ERP package, use the estimated effort produced from the list of 'customization requirements' for the specific sub-component.

Kanban Board. Team members use the Kanban board to manage the flow of work for "Customization Requirements" of the ERP Package.
"Customization Requirements" are associated with a "Work Package"--specifically a sub-component of the ERP software package.
Logs & Reports Section
Logs. Assumptions & Constraints, Costs & Time Tracking, Lessons Learned, Major Risks & Issues, Measures, Meetings, Procurement, Scope Change, Stakeholders.
Reports: Weekly Project Review, Monthly Project Status.
Weekly Status Review
Weekly Status Report. Assembles content from different sections, including Schedule (Work Packages), Customization Requirements.
Used by Project/Team Leads with Project Manager to review project status on a weekly basis.
Monthly Project Status Report
Monthly Project Status Report. Assembles content from different sections as well as summaries from project manager on the overall state of the project.
Used by Project Manager to produce report for Project Sponsor, Steering Committee, and other stakeholders.
Project Performance Dashboard
"Live" Dashboard for current project performance.
Used by team members, project leaders, project manager, project sponsor, steering committee, stakeholders.
Active Work Packages Dashboard
For project leads and team members to review the status of work packages.
Used to support daily reviews, or 'daily stand-ups'.

Details: Start/Finish Dates; Status of Resources, Budget; Status of Activities within "Work Package" (for non-customization requirements work packages); Major Risks & Issues, Lessons Learned; progress update.
